Just as scientific research requires meticulous planning and protocols, successful design projects begin with thorough preparation and a schedule. However, even the best-laid plans can face unexpected challenges. Based on my experience, I’ve compiled five practical strategies to ensure a smooth and successful design process.
1. Prioritise clear communication
Before any design work begins, it’s essential to have an in-depth discovery phase – think of it as your exploration phase. This step is crucial for understanding not just the immediate deliverables, but the broader context and objectives of your project.
Case Study: A recent client needed a branding overhaul but wasn’t clear on their vision. During our initial discussions, we identified key brand values and preferences. This clarity saved time later and ensured the design aligned brilliantly with their expectations.

2. Ensure access to essential assets
Essential brand assets, like logo files, need to be readily available and in the correct format. If these aren’t on hand, discuss this with your designer early to avoid delays during the production phase.
For example, when a client couldn’t locate their logo in print resolution, I needed to redraw it. While effective, this added time and cost that could have been avoided.
Vector files of logos ensure scalability across all applications, from exhibition stands to investor presentations. Having access to original vector files ensures flexibility and optimal quality for both digital and print outputs.

3. Plan ahead with fonts
If your brand uses specific fonts, especially licensed ones, it’s important to provide access to them upfront. While many fonts are freely or easily available (e.g., Google Fonts, Microsoft Fonts, Adobe Fonts), licensed fonts may require additional permissions or purchases. Understanding requirements early helps avoid unexpected delays.
4. Integrate content and design early
Successful design projects thrive on collaboration. Content and design should evolve together to create a cohesive result. Allocate ample time to draft, refine, and finalise content while ensuring it works seamlessly within the design framework.
Best Practice Example: We follow an iterative process:
- Initial layout design based on preliminary content
- Technical writers refine content while seeing it in context
- Design adjustments to integrate updated content
- Final refinements to ensure optimal results
Collaborating on both content and design from the start makes the process efficient and results in a polished final design.
5. Schedule time for testing and sign-off
Involve key decision-makers early and keep them informed about project timelines. Plan for their review and approval at critical stages to ensure deadlines are met. Prompt feedback during the sign-off process helps avoid last-minute surprises and keeps the project on track.
In summary
When these five elements align, we can focus on what truly matters – creating materials that effectively spread the word and support your business objectives. Whether you’re preparing for a funding round, launching a new product, or updating your branding, this framework helps ensure a smooth and successful design process.
